Alchemy Women in Leadership Zambia is a national initiative dedicated to a higher female representation in the workplace and broader community. Looking for an Intern to understudy the Finance and Administration Manager. The Intern will be responsible for providing administrative and clerical
services in order to ensure effective and efficient operations.
SCOPE
The Intern, reporting to the Finance and Administrative Manager, is
responsible for providing administrative and clerical services. Providing
these services in an effective and efficient manner will ensure that
operations are maintained in an effective and efficient manner.
RESPONSIBILITIES
-Provide administrative support to ensure that operations are maintained in
an effective, up to date and accurate manner
Main Activities:
Financial responsibilities
-Cash management
-Payroll
-Petty Cash management
-Invoices
-Membership Database Management i.e. updating and followups
-Maintenance of staff records
-Maintenance of all financial records
Provide support to the Secretariat and Board to ensure that the Secretariat
is provided with the resources to make effective decisions
-Maintain confidential records and files
-Maintain records of decisions
-Review and edit reports to the Board
-Prepare correspondence for Board members
-Prepare documents and reports on the computer
-Schedule Board meetings
-Prepare agendas for Board meeting
-Prepare packages for Board meetings
-Attend board meetings
-Record minutes and submit minutes for approval
Maintenance of the Offices
-Type correspondence, reports and other documents
-Maintain office files
-Open and distribute the mail
-Take minutes at meetings
-Distribute minutes
-Oversee the cleaning, security and maintenance staff to ensure the offices
are clean and secure
-Coordinate repairs to office equipment
-Arrange for payments of training participants
-Interface with UNDP and other donors regarding payments
Be the first point of contact for visitors
-Greet and assist visitors
-Answer phones
-Direct calls and respond to inquiries
-Perform other related duties as required
QUALIFICATIONS, KNOWLEDGE, SKILLS AND ABILITIES

performance)
Minimum Qualifications:
-Bachelors in Business Administration; or
CIMA/ACCA
-Diploma in a Secretarial or Administrative relevant qualification
